How a School or Team Spirit Store Actually Works

Every August somebody from a booster club calls with the same worry: what if we order two hundred shirts and get stuck with eighty of them?

You don’t have to. That’s what a spirit store is for. It’s a preorder window, not an inventory buy, and it’s the way we run most school, team, church, and league orders now.

What a spirit store is

Instead of guessing how many mediums your people will want, you sell first and print second. We set up a lineup of garments, your families order during a window you set, the window closes, and everything gets printed in one run.

Nobody fronts money for boxes of shirts. Nobody ends up with a closet of leftover larges under the concession stand.

How it runs, start to finish

  1. We pick the lineup together. Two or three garments is the sweet spot: a tee, a hoodie, and one thing for the parents. Too many choices slows people down and splits your quantity. Browse the garment catalog if you want to point at something specific.
  2. We handle the art and send a proof. You approve it before anything moves. That includes how the design sits on each garment, since a hoodie print and a tee print aren’t the same size.
  3. You get the quote in writing. Before the window opens, so you know exactly what your people will be paying and what the organization keeps.
  4. The window opens. You pick the open and close dates. Your families order, you collect, and we stay out of your money.
  5. The window closes and we total it up. One count, one production run, everything printed together so the whole group matches.
  6. We sort it by name. Orders come back bagged and labeled per person, which is the part that saves your volunteers an entire evening.
  7. Pickup at the shop on Moss St, or one person picks up the whole thing and hands it out at practice. Shipping can be arranged on request and is quoted at cost, but almost everybody picks up.

Work backward from your deadline

This is where most spirit stores go wrong, and it’s easy to fix with a calendar.

Typical turnaround is 10–14 business days after you approve the proof. That clock doesn’t start when the window closes. It starts when the art is signed off, which is usually earlier. So the math looks like this:

Event date, minus 10–14 business days for production, minus however long your ordering window stays open, minus a few days at the front for art and proof.

For a first game in late August, that means talking to us in July, not the week before. If you’re already inside that window, call anyway. Rush is often possible, sometimes with a rush fee, and we’d rather tell you honestly than let you find out late.

What to decide before you call

You’ll get a faster quote if you already know:

  • Which garments you want offered, and roughly what your crowd will buy
  • How many designs you want; one across everything is simplest and cheapest
  • Whether you want names or numbers on the back, which adds per-piece work
  • Your open and close dates for the window
  • Who’s collecting the money and how

Don’t have artwork yet? Send us what you’ve got. If your design came out of an AI image tool, say so. Those always need redrawing before they’ll print, and we can do that for you. The artwork guidelines page has the rest.

What it costs

Same as any other order: priced by the garment and the decoration, and the per-piece price improves as the group total grows. Screen printing is built for this. Quantity working in your favor is the whole point of it.

Terms are the same too. Orders go into production on a 50% deposit with the balance due at pickup, and we’ll talk through how that lines up with your collection dates so nobody’s floating anything they shouldn’t be.

Reorders are the easy part

Once we’ve printed your design, we keep the screens. Next season’s restock skips the setup entirely, so it’s faster and it costs less. The new shirts match the old ones too, because they came off the same screen.
